Clean up your Course with TidyUP

TidyUP is a tool integrated within Cougar Courses that scans your course and identifies unused or duplicated files.

TidyUP Best Practices

  • If you believe you have a significant number of unused or duplicated files that need to be deleted, or are hesitant to delete files, you can first and . Then you can use TidyUP in the sandbox course, leaving your official container as-is. 
  • Download files before deleting them. This ensures that if you later discover you actually need that file, it can be added back.
  • TidyUP cannot scan Question Banks, so it cannot be tell if an image/file is being used in a quiz question in a Question Bank. If you use Question Banks and images in your quiz questions, consider:
    • Adding a standard naming convention to the beginning of the file name, such as "QB_x".
    • Creating an unpublished page in your course and embedding any file or image associated with a question bank question so TidyUP can recognize it as "in use."
    • Create a Question Bank Files folder to store all question bank images. Then, use TidyUP's "Ignore Folder" feature to ensure TidyUP does not scan that folder, keeping your question bank files safe. See the Folders section below for details.
  • Run TidyUP before using Ally to make your course materials more accessible to avoid working on files that are not going to be used. 

Add TidyUP to your Course Navigation

  1. While in your course, click on Settings at the bottom of your course navigation.

  2. Click on the Navigation tab at the top of the page.

  3. Scroll down to find TidyUP. Click the three dots and choose Enable.

  4. Scroll to the bottom of the page and click Save.

Use TidyUP to Clean Up Course Content

Click TidyUP on your course navigation. Click the Scan Course button in the center of the page. TidyUP will then scan everything in your course. Stay on this page while it scans (if you leave this page and come back, you will need to scan again). Keep in mind TidyUP will not pick up links (like links to OneDrive files or Stream), only files uploaded to the course.

Once TidyUP has finished scanning, you will see three tabs with your content: Files, Folders, and Canvas Content.

Files

This tab will list every file you have in your course. Click on the file name to preview the file.

Filter/Sort Files

You can sort by file type or whether or not the file is in use in the upper right. You can also sort by the columns: File Name, Used In, Last Updated, and Size by clicking on the column name.

Download files

Check the box for each file you wish to download. Then, click the Download Selected button in the upper right.

Edit a File's Name

Click the pencil icon in the Actions column for the file you wish to edit.

Change the name and click Save.

Move Files

Check the box for each file you wish to move. Then, click the Move Selected button in the upper right.move selected files option

Choose the folder into which you want to move the files. Click Move.

Delete Files

You will only be able to delete files here if they are not being used in the course. Warning: Question Banks cannot be scanned for file usage. So an item may say it is not being used even though it is being used in a question within a Question Bank. You should be cautious about deleting files if you utilize Question Banks and quiz questions that contain images/files (see Best Practices above). 

To delete a file, click on the trash can to the right of the item. To delete multiple items: select the boxes on the left for the items you wish to delete and then click Delete Selected in the upper right.

Folders

This will show you the current folders you have in your course's Files area. You will only be able to delete folders here if they are empty. If you want to or you will want to go to your Files area.

To have TidyUP ignore a folder in future scans, click the pencil icon next to the folder, check the box for "Ignore folder contents in TidyUP scans" and click Save.

Canvas Content

This tab will show all of your course content including activities (assignments, quizzes, etc.), pages, and files. For each item you will see the type, where it is being used, if it is published, if it is linked in Modules, if that item has content, and when it was last updated.

Filter/Sort Content

You can sort by the columns Title, Published, In Modules, and Has Content by clicking on the column name. You can also filter by content Type in the upper right.

Delete Content

To delete an item, click on the trash can to the right of the item. To delete multiple items: select the boxes on the left for the items you wish to delete and then click Delete Selected in the upper right.
